Start with what you know
A complete technical audit is not required to start an inquiry. List one device or identical lot per row. Enter the manufacturer, model or part number, quantity and known condition. Leave unknown configuration details blank and attach clear label photos separately.
What the spreadsheet captures
The editable sheet includes category, manufacturer, model or part number, quantity, condition/test status, configuration, media presence and requested media handling. Serial number, location and notes are optional. Use notes to identify an approximate count, missing parts or a photo filename. Keep model and serial identifiers as text so leading zeros are preserved.
Amber cells are editable. Category, condition and media fields offer dropdown choices. The template contains no macros. It begins with 30 blank rows; use additional copies for larger lists or send your existing inventory format.
Make uncertainty visible
Choose Unsure when media status is unknown. Include embedded storage and stored network configurations as well as loose drives. A handling choice is a request to agree before transfer, not evidence of sanitization or confirmation that a service is available. Do not include passwords, recovery keys or drive contents.
Send the list for evaluation
Attach the file to your offer request with the equipment location and timing. A preliminary offer identifies purchase value, any project charges and verification assumptions. Acceptance, media responsibilities and logistics are confirmed separately in writing.
