Blank sample paperwork

Sample quote and custody records

See blank examples of the scope, purchase amount, charges and asset records that a written project agreement can include.

Blank samples, with a defined purpose

These documents show the information used to make a transaction understandable. They are blank samples, not contracts, completed customer jobs, certificates or independent audits. Actual terms and deliverables require agreement. Serial inventory and custody documentation are supplied only when included in the approved written service scope.

A quote separates the purchase from charges

The sample quote identifies the project and revision, parties, equipment assumptions, purchase amount, separately agreed charges and the net payment or fee. It provides space for logistics, media responsibilities, verification, payment and return terms. An estimated recovery range, if supplied, is an estimate rather than an appraisal or promised resale proceeds.

Custody records connect the handoffs

The transfer outline uses consistent project and asset identifiers, expected and received counts, condition notes and releasing/receiving acknowledgments. Each custody event records who held which assets, where, when and for what purpose. Unknown media and exclusions remain visible; a handoff does not prove data clearance.

Verification and approval precede settlement

Material discrepancies need a revised proposal and seller approval. Keep the original and revised records. Payment follows asset verification under accepted terms. Payment, data clearance and downstream completion are separate events; outstanding agreed records remain open until evidenced.

Have equipment ready for review?

Send a partial list or clear photos with the equipment location and timing. Purchase, handling and verification terms are agreed in writing.
