Server-room retirement checklist

Prepare the inventory, media decisions and site details, then review the offer and reconcile the handoff and payment.

Confirm who can approve the transfer

Identify the equipment owner, authorized signatory and organizational disposal requirements. Check leases, liens and ownership restrictions. An MSP should identify the client asset owner and who is authorized to accept the offer.

Prepare the list, media decision and access details

Collect models, approximate counts, known condition and useful label or rack photos. Identify loose drives, embedded storage and stored configurations. Unknown media is unsanitized. Agree customer retention, verified prior-sanitization records or a qualified partner route before transfer; exclude equipment when no supported route is confirmed.

Provide city or ZIP and desired timing. Disclose stairs, loading restrictions, de-racking, packing, rigging, after-hours access and freight needs. Pickup and exceptional work require specific agreement. We do not currently offer in-house erasure or certified destruction.

Review the offer before accepting

Check the purchase amount, itemized charges, net payment or fee, accepted assets, exclusions and verification assumptions. Confirm timing, media responsibilities, title/risk transfer and return terms in writing. An inquiry does not reserve pickup or approve a sale.

Reconcile the handoff and settlement

Keep the accepted revision and asset identifiers with the transfer records. Reconcile counts and exceptions at handoff. Serial inventory and custody records are supplied when included in the written scope. Material changes require your approval before settlement changes. Payment follows asset verification under the accepted terms; track outstanding processing and downstream records separately until all agreed deliverables are complete.

Have equipment ready for review?

Send a partial list or clear photos with the equipment location and timing. Purchase, handling and verification terms are agreed in writing.
